Policies & Procedures

It is the policy of Bèl Chic Physique and its affiliates, and subsidiaries (individually and collectively called B.C.P. herein) that users (i.e., employees, staff, students, volunteers, contractors, vendors, outside affiliates, and any others who are permitted access to Bèl Chic Physique's information) shall respect and preserve the privacy, confidentiality and security of confidential information (“CI”) which shall include: individually identifiable client's information in any format including but not limited to paper and electronic medical and billing records. CI may be created internally or received from other institutions and may be in any format including paper, verbal/oral communication, audio recordings or electronic format. We understand and agree that B.C.P. will only access, maintain, use, or disclose CI for legitimate job-related, need-to-know purposes. B.C.P. further agree that: 1. It will protect the privacy, confidentiality, and security of B.C.P. client's information at all times in accordance with federal and state regulations and applicable B.C.P. policies and procedures. 2. Bèl Chic Physique will not sell any protected health information to anyone or business, nor will we share your protected health information with anyone other than the necessary provider(s) who will be providing services and treatment(s) to you.

Medical Disclaimer

All services offered by Bèl Chic Physique, its's affiliates and subsidiaries, are for general wellness and aesthetic support only and are not intended to diagnose, treat, or cure any medical condition. Clients are advised to consult with their licensed healthcare provider before beginning any wellness or body sculpting program, especially if they have a pre-existing condition or are currently under medical supervision.

Body contouring services, including ultrasonic cavitation, radiofrequency skin tightening, vibration, vaginal rejuvenation, and all other therapies we offer, are non-invasive aesthetic procedures and do not replace medical treatment or advice. Individual results may vary based on body composition, hydration, lifestyle, and commitment to the recommended plan.

GLP-1 Medication Notice

Weight loss medication options such as GLP-1s (e.g., tirzepatide) are prescribed solely through a third-party telemedicine provider. Bèl Chic Physique does not prescribe or administer these medications directly. Eligibility and prescriptions are determined solely by the licensed medical professional after independent evaluation. We act only as a referral and support resource to assist clients on their wellness journey.

By participating in any service, you acknowledge and agree to these terms.

LATE/CANCELLATION POLICY

Your appointment is very important. We understand that sometimes schedule adjustments are necessary. Therefore, we respectfully request at least 24 hours notice prior to your scheduled appointment time for cancellations or rescheduling of appointments. Please notify us by e-mail (appointments@belchicphysiqye.com) if your cancellation is outside of our normal business hours or you’re unable to reach us by phone at 704-438-9805 (call or text).

ANY APPOINTMENTS CANCELLED OR RESCHEDULED WITHIN 24 HOURS OF APPOINTMENT TIME WILL RESULT IN AN ADDITIONAL $50 CHARGE TOTALING $100 (FORFEITED BOOKING FEE + CANCELLATION FEE) WHICH IS AUTOMATICALLY CHARGED TO THE CARD ON FILE.

We recognize that the time of our clients and specialists are valuable and have implemented this policy for this reason. When you miss an appointment with us, we not only lose your business, but also the potential business of other clients who could have scheduled an appointment for the same time. This is why we offer a 15 minute grace period. Anytime pass this will make it impossible for us to give you adequate treatment which wouldn't be fair to you and the quality service we aim to provide. In this case the cancellation/rescheduling fee will apply.

It is your responsibility to remember your appointment dates and times in order to prevent any missed appointments which will result in a cancellation fee. Not receiving an electronic notification of your appointment(s) from us is not a sufficient reason to miss an appointment if the original confirmation notification was received timely.

It is mutually understood that if a cancellation is due to circumstances beyond any of our control, such as an accident, power outage, unfortunate severe incidence, illness, or weather that requires you or us to have to cancel or be closed during regular business hours, we will reschedule your existing appointment and no discount, or rescheduling fee will apply.

IF we are running behind and are more than 15 minutes late, we will inform you of the delay and IF you would still like to proceed, you will receive a 7% discount OFF your treatment cost for that day. IF you need to reschedule, we will do it with no additional fees.

TRAVEL POLICY

Since we do not actually utilize a "physical" location and are strictly mobile, we charge an additional fee for those appointments that are more than 12 miles from Exit 16 & I485 (Round-trip) in Charlotte.

Upon scheduling, you will receive a text or email requesting your location. Once distance and applicable fees (if any) are determined, you will then receive an invoice, usually within 24 hours of booking that will include your remaining balance for the service you requested and any fees and/or adjustments as well. Full payment will be due no later than 24 hours of your appointment time. Failure to pay in full by the above stated time will result in cancellation and or rescheduling, which at that time our cancellation policy WILL apply. (See Late/Cancellation Policy).

Kick-Start program: Charged only 1 Travel Fee/week.

Maintenance clients receive 25% OFF travel fees.

*Appointments greater than 45 miles MUST call, text or email to schedule. Online appointments this far away cannot be scheduled online.

*Please note that travel fees may be reduced or waived if multiple people are receiving treatment at the same location on the same day/time, OR a client is having multiple sessions in the same week. Call, text, or email to schedule such appointments and we will determine if any or all of your travel fees will be waived.

APPOINTMENT LOCATION POLICY

We perform all services at your location. This appointment location must be owned or leased by the individual receiving treatment. Public places are not allowed, unless owned/leased by the individual, or otherwise have written permission from the owner, AND privacy can SAFELY be maintained. Please also make sure there is room for us to park on the premises such as driveway or designated parking space(es).

Since we offer in-home services therefore will be carrying equipment and supplies, as well as working in an unfamiliar environment certain rules do apply:

We can only perform services in locations on the ground level OR that have access to working elevators. We cannot perform treatments if the location has more than 1-2 SMALL STEPS to the entrance without a ramp being provided which CANNOT have a very steep incline.
You are required to have a designated, private, safe, clean, AND clutter-free area such as the living room, loft or den. Anywhere that will be able to accommodate our equipment (machine(s), table for supplies, stool if needed, treatment table for client, and of course space to work, etc.)
Space must be cleaned, cleared and ready BEFORE your provider arrives.
Space MUST have good lighting. We CANNOT and WILL NOT work in dark areas.
Softly playing TV or radio, as well as cell phones or iPad are ok and sometimes encouraged as this can help give you comfort and ease any nervousness you may have, and also help you pass the time.
Access to at least 2 working unbroken hazard-free wall outlets. Although we do travel with an extension cord, not all of our equipment can use an extension and will have to be plugged into the wall.
NO ANIMALS are allowed in the same room while the provider is there and treatment is being performed, so we kindly and respectfully ask that you put your animals in a separate room/area just until we leave.
IF there is an infant, child, or anyone else that requires supervision, we ask that another responsible adult be available to watch them so that we may have an uninterrupted session.
FOR OUR PROTECTION AND SAFETY, AS WELL AS EDUCATIONAL, TRAINING, AND MARKETING PURPOSES, ALL CONSULTATIONS/TREATMENT SESSIONS ARE RECORDED. NO FACE OR PERSONAL INFORMATION/DETAILS OR PHOTOS OF YOUR HOME WILL BE RECORDED/SHARED. IF FOR ANY REASON A CLIENT'S FACE OR PERSONAL INFORMATION DETAILS ACCIDENTALLY GETS IN A PICTURE OR VIDEO, IT WILL BE CROPPED/EDITED OUT. WE TAKE OUR CLIENTS PRIVACY AND CONFIDENTIALITY VERY SERIOUSLY AND ARE HIPAA COMPLIANT.
Some of our Body Contouring Specialist may not want to be on camera, so we asked that you ALWAYS get verbal permission to record and or take pictures of any part of your treatment session. IF this is allowed, you may only record what is actually happening and NOT the provider's face or any personal information/details.
For your privacy as well as to not interfere with your specialist's work and concentration, please minimize the amount of additional persons present in the room during your treatment. We recommend no more than 1 additional person if needed.
Sessions/appointments will be cancelled and cut short WITHOUT a refund due to the following:

area not being ready upon arrival
more than 3 stairs without a ramp to the entrance, no working elevator
animals roaming around in the treatment area
interruptions due to lack of additional supervision for infant/children or individuals requiring care and attention.
severely untidy, cluttered, or infested areas
any hazards that we believe to be unsafe including conditions inside and/or outside the home/location.

PAYMENT POLICY

All appointments are subject to a $50 booking reservation fee which is credited towards your treatment cost. The remaining balance is due no later than 24hours PRIOR to your appointment. No payments are accepted at your appointment. Failure to complete payment in the specified time stated above will result in cancellation and/or rescheduling of your appointment, then in which case the cancellation policy will apply:

“Any appointments cancelled or rescheduled within 24 hours of appointment time will result in an additional $50 charge totaling $100 (forfeited booking fee + cancellation fee), which is automatically charged to the card on file.”

As much as we really value our clients, and strive for excellence, our goal is for you to be very well satisfied with your results; however as with anything else, despite our uses of advance equipment, techniques and training, no two persons are alike and not everyone will respond the same way or have the exact desired looks/results they had hoped for. Body contouring is not an "end-all be-all" solution. It takes lifestyle habit changes and modifications as well. Therefore we cannot guarantee you will achieve your intended outcome and do not offer refunds.

PHOTO/VIDEO/AUDIO RELEASE

Bèl Chic Physique has the right to take, edit, alter, copy, exhibit, publish, distribute and make use of any and all pictures, video, and/or audio taken of me to be used in and/or for training, and any lawful promotional materials including, but not limited to, newsletters, flyers, posters, brochures, advertisements, press kits, websites, social networking sites and other print or digital communications without payment or any other consideration. This authorization extends to all languages, media, formats, and markets now known or later discovered.

Clients waive the right to inspect or approve the finished product wherein my likeness appears, including written or electronic copy. Additionally, clients waive any right to royalties or other compensation arising or related to the use of their image or recording.

Clients understand that unless they give verbal permission, their faces, names, and identities will all remain private and confidential from the public. Clients hereby hold harmless and release Bèl Chic Physique from all liabilities, petitions, and causes of action which they, their heirs, representatives, executors, or any other persons may make while acting on their behalf or on behalf of their estate.

This permission is granted for any and all pictures, video, and/or audio obtained at any and all of clients visits.

Clients are responsible for providing a safe, accessible, and private space for services as outlined in our Appointment Location Policy.
Individual results from body contouring and wellness treatments may vary based on body composition, hydration, and lifestyle. No specific outcomes are guaranteed.
Clients must provide accurate information and communicate any health concerns or conditions prior to their appointment.
All consultations, sessions, and correspondence may be recorded for training, quality assurance, and documentation purposes.
By booking any session, you acknowledge and agree to abide by all outlined policies, including cancellation, travel, payment, and conduct expectations.

We reserve the right to cancel or reschedule appointments due to safety concerns, policy violations, or unforeseen circumstances.

Mobile Information Privacy & SMS Consent

We respect your privacy and are committed to protecting your personal information, including mobile numbers.

No mobile information will be shared with third parties/affiliates for marketing or promotional purposes.
All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
